Volunteer Policy

In line with the latest Volunteering England and Home Office guidance, JAM’s Volunteer Policy ensures that volunteering with us is a valuable, safe, and fair experience for everyone.

Purpose and Scope

Volunteers are at the heart of JAM’s work, helping us deliver inspiring arts events safely and professionally. This policy outlines how we support, manage, and protect everyone who volunteers with JAM on the Marsh and other JAM activities.

Our Commitment to Volunteers

Fairness and inclusion: All volunteers are treated fairly and with respect. JAM is an inclusive organisation, welcoming volunteers of all backgrounds, abilities and ages (from 17 years and above).
Expenses: JAM reimburses volunteers for out-of-pocket expenses only, such as travel and subsistence.
Health and safety: As part of our Health & Safety Policy, JAM conducts venue-specific risk assessments, which are shared with all volunteers before each event.
Comfort and wellbeing: Volunteers have access to tea, coffee and tap water at every venue. We encourage everyone to bring a reusable water bottle.
Visibility and safety: Volunteers receive JAM T-shirts to ensure they are easily identifiable, along with sunscreen and high-visibility jackets for outdoor events.
Training: JAM offers First Aid training to volunteers who are not currently up to date.
Rota and breaks: A volunteer rota is maintained to ensure adequate breaks, allowing everyone to enjoy festival events free of charge.
Supervision and support: Each volunteer team is supervised by a JAM staff member or event manager, who is available for guidance and support throughout the event.
Safeguarding: JAM is committed to providing a safe and welcoming environment for all. Sarah Armitage (JAM Administrator) is DBS-checked and holds a Chaperone Licence. She accompanies volunteers at any events involving vulnerable people.
Insurance: Volunteers are covered by JAM on the Marsh’s public liability insurance with Zurich Insurance.

Recruitment and Induction

Volunteers are briefed before their first event, including an introduction to JAM’s values, safeguarding approach, health and safety guidance and the specific duties of their role.

Data Protection and Confidentiality

Volunteer information is held securely and used only for administration purposes, in line with JAM’s Privacy Notice and the UK General Data Protection Regulation (UK GDPR).

Problem-Solving

Any concerns or grievances raised by volunteers will be handled promptly and fairly in line with JAM’s internal procedures.

Diversity & Inclusion

JAM is committed to fostering a culture of equity, inclusion, and respect across all areas of our work. We strive to ensure that everyone we collaborate with — freelancers, staff, performers, artists, composers and volunteers — is treated fairly and selected based on their skills, experience and artistic merit.

We do not discriminate on the basis of gender, marital or civil partnership status, pregnancy or dependents, gender identity or reassignment, disability, race, ethnicity, age, sexual orientation, religion or belief, or lack thereof.

We aim to maximise diversity and inclusivity across our organisation and activities, welcoming people of all ages, backgrounds, geographies, classes, and abilities to participate in and experience JAM’s work.

JAM works actively to involve as wide a spectrum of composers, performers, artists, and audiences as possible. We believe that equal opportunity is fundamental to achieving our artistic aims and to ensuring that new music can flourish within an open, representative, and vibrant cultural environment.

Employment & Engagement
JAM is committed to an equal opportunities approach in all employment and engagement decisions, including recruitment, selection, promotion, training and freelance appointments. Decisions are made objectively and without unlawful discrimination.

We oppose all forms of unfair treatment. Everyone working with JAM is entitled to dignity, respect and fair access to opportunities.

We recognise that a diverse team strengthens our work and enriches the music we create and present. By supporting each individual to fulfil their potential, JAM maximises the collective creativity, insight and innovation of our organisation.

JAM encourages open dialogue and is committed to addressing concerns or complaints promptly and appropriately.

Third-Party Partnerships
JAM works with like-minded organisations who share our commitment to diversity, equity and inclusion. Through these partnerships we aim to present a wide-ranging artistic programme, inclusive opportunities for performers and creators, and marketing activity that reaches culturally diverse and underrepresented audiences.

Audiences
JAM implements a multi-channel marketing strategy to build audiences that reflect the diversity of the communities we serve.

In addition to live performance, JAM makes extracts of its work available digitally to increase access for people of all ages, backgrounds, locations, and abilities.

Venues
JAM will ensure, wherever possible, that the venues in which we present work offer suitable and accessible facilities for all members of the public. We work closely with partner venues to identify and improve access provisions wherever needed.

Monitoring & Review
JAM reviews its diversity and equal opportunities commitments at least annually, taking action where required. This may include:
• monitoring the diversity of our artistic programming
• reviewing the spread of submissions and commissions
• evaluating who we engage and how we recruit
• assessing audience reach and engagement

This ongoing review ensures that JAM continues to move towards a more inclusive and representative future.

Environmental Policy

As a festival rooted in the unique and fragile environment of Kent’s Romney Marsh, JAM is committed to minimising its environmental impact. Our approach to sustainability recognises that our cultural activities can coexist with nature in a way that protects and enhances the environment for future generations. This policy outlines our commitment to environmental responsibility and the specific actions we take to ensure sustainable planning and practices are embedded into every aspect of the JAM on the Marsh festival.

Core Principles
Sustainability: We aim to minimise our carbon footprint and reduce waste, using resources efficiently and responsibly.
Biodiversity Protection: We commit to protecting the diverse ecosystems of Romney Marsh, ensuring our activities do not disrupt local wildlife or natural habitats.
Community Engagement: We will actively engage festival attendees, artists, and volunteers in environmentally conscious practices and encourage them to become advocates for sustainability.
Continuous Improvement: Our environmental policy will be reviewed annually to ensure that we adopt best practices and adapt to new sustainability challenges.

Key Commitments
1. Reducing Carbon Footprint
Energy Efficiency: We will prioritise venues and operations that use energy from renewable sources where possible. Outdoor performances will leverage natural light, and low-energy lighting and sound systems will be employed for indoor events.

Sustainable Transport: We will promote the use of public transportation, car-sharing, cycling, and walking to reduce emissions from festival-related travel. Shuttle services between venues and transportation hubs will be powered by electric or low-emission vehicles when possible.

Digital Solutions: We will reduce the need for printed materials by utilising digital tickets, e-programmes, and online promotional tools. When printing is necessary, recycled materials will be used, when possible.

2. Waste Reduction and Management
Zero Waste Goal: We aim to minimise waste through reduction, reuse and recycling strategies.

Recycling: Clearly labelled bins for recycling will be positioned at all festival locations. We will work closely with our venues to ensure materials are properly sorted and processed by waste management companies.

Minimising Single-Use Plastics: The festival will eliminate single-use plastics by working with artists, venues and suppliers who commit to sustainable packaging. All food and drink packaging will be compostable or recyclable. Artists will be encouraged to bring their own reuseable drinks bottles. Venues will serve drinks in cups or glasses that will be washed and reused.

3. Protecting Local Biodiversity
Venue Selection: Our festival venues will be chosen with care to ensure they do not disturb sensitive wildlife or natural habitats. We will avoid any construction or infrastructure that could have a negative impact on the local ecosystem.

Eco-friendly Installations: Any temporary structures or art installations will be created from environmentally friendly, reusable or recycled materials and will be designed to have a minimal ecological footprint.

Noise Control: We will monitor and manage noise
levels to avoid disrupting wildlife and local communities, particularly during evening events.

4. Engaging and Educating the Community
E-comms: JAM’s Environmental Policy, related projects and reminders about sustainable travel to JAM on the Marsh events will be promoted on our website, social media & e-marketing.

Sustainability Workshops: We will offer educational sessions and workshops to inform festival attendees about environmental issues, particularly those relevant to Romney Marsh’s ecosystem, and inspire more sustainable behaviours.

Artist and Venue Partnership: Artists and venues will be encouraged to adopt sustainable practices. They will be provided with resources to minimise waste, reduce energy use and source materials responsibly.

Eco-Friendly Merchandise: Any festival merchandise will be produced sustainably, using ethically sourced, organic or recycled materials.

Monitoring and Reporting
We will track and measure our environmental impact annually, using key performance indicators (KPIs) such as waste reduction rates, carbon emissions and energy usage. Feedback from festival participants, local stakeholders, and environmental experts will be incorporated into the review process. Progress will be reported transparently to the public through the festival’s website and social media platforms.

Collaboration and Partnerships
JAM will collaborate with environmental organisations, local authorities and sustainability experts to ensure that our initiatives are grounded in best practices. We will also seek to build partnerships with green companies, eco-friendly sponsors and innovators in sustainability.

Conclusion
JAM is dedicated to being a cultural leader in environmental responsibility, demonstrating that the arts and environmental stewardship can go hand in hand. Through this policy, we aim to create a festival experience that not only celebrates art and community but also respects and preserves the unique landscape of Kent’s Romney Marsh.
